Linedata Careers and Recruitment Privacy Notice

We at Linedata manage our employer branding and recruitment process through our career site (the “Career Site”), and by using a related applicant tracking system.
In this Privacy Notice, we explain how we process your personal data if:
- You visit our Career Site (“Visitor”)
- You connect with us via our Career Site, to create a profile with us and receive information about current or future vacancies with us.
- You apply for a position with us, via our Career Site or a third party service.
- We may collect limited professional information about you from publicly available sources, such as Linkedin or similar professional networking platforms, where we reasonably believe your professional experience may be relevant for current or future career opportunities at Linedata.
- We may receive limited professional information about you from our employees, recruitment partners or other professional contacts where they recommend your profile in connection with current or future career opportunities at Linedata.
-We may receive your contact details and professiona reference information from a Candidate, who identifies you as a professional reference in connection with a recruitment process (“Reference”).
This Privacy Notice also describes your rights regarding the processing of your personal data, and how you may exercise these rights.
When we use the term “Candidate” in this Privacy Notice, we refer collectively to Connecting Candidates, Applying Candidates, Sourced Candidates and Referred Candidates, unless otherwise sprecified.
1. About processing of personal data
Personal data means any information that can directly or indirectly identify a living individual. Examples include names, email addresses, telephone numbers and IP addresses.
Processing of personal data means any operation performed on personal data, whether automated or not, including collection, recording, storage, organization, analysis, consultation, sharing or deletion.
Linedata processes personal data in accordance with applicable data protection laws, including the EU General Data Protection Regulation (EU) 2016/679 (“GDPR”).
Under the GDPR, a “data controller” determines the purposes and means of processing personal data, while a “data processor” processes personal data solely on behalf of the controller and in accordance with its instructions.
Linedata acts as data controller for the processing activities described in this Privacy Notice.
2. What personal data do we process?
All individuals
- Device information - We may collect information relating to your device and browser, such as your IP address, browser type and version, session behaviour, traffic source, screen resolution, preferred language, geographic location, operating system and device settings.
- Technical and statistical data - We may collect technical and susage-related information concerning your interaction with the Career Site, included visited pages, navidation activity and usage statistics.
- Communications data - We may collect and retain communications exchanged with you, including emails, messages submitted through the Career Site, interview recordings where applicable, and other information voluntary shared during the recruitment process. Please do not submit sensitive personal data unless legally permitted.
- Contact details - Such as your name, email address, telephone number and physical address.
Candidates
- Recruitment related information - Such as notes from interviews, assessments, tests, qualifications, professional experience, salary expectations and other information relevant to the recruitment process.
- Information in your application - Such as your CV, cover letter, work samples, references, letters of recommendation and educational information.
- Publicly available professional information - Professional information collected from public sources related to your professional experience, such as LinkedIn or similar professional website.
- Reference information - Information provided by professional references, employees or partners in connection with your application or professional profile.
3. Where do we receive your personal data from?
All individuals
- Through the Career Site. If you visit our Career Site, we may collect technical and statistical information about how you use the Career Site, and information from your device and browser .
- Directly from you. Most personal nformation processed by Linedata is collected directly from you, when you apply for a position, create a candidate profile or otherwise communicate with us. You may choose not to provide certain information. However, some personal data is necessary in order for us to process your application or provide requested services or communications.
Candidates
- Directly from you
We collect personal data directly from you when you apply for a position, communicate with us, participate in interviews or assessments, or otherwise interact with us during the recruitment process.
- Publicly available sources
We may collect personal data from publicly available sources, including professional social networks such as LinkedIn or the website of your current or former employer, where relevant to the recruitment process and permitted by applicable law.
- Referrals and recruitment partners
We may receive personal data about you from Linedata employees, recruitment agencies, talent sourcing providers, or other business partners who recommend your profile in connection with current or future career opportunities.
- References
Where you provide references, we may obtain personal data about you from those references as part of the recruitment and candidate evaluation process.
- Information generated during the recruitment process
We may generate or compile personal data relating to your application throughout the recruitment process, including interview notes, assessments, evaluations, and feedback relating to your skills, qualifications and suitability for the role.
References
- From the person for whom you are a reference. If a Candidate lists you as their reference, we will collect your contact details from the candidate to be able to contact you.
4. For what purposes do we process your personal data?
Linedata may process personal data for the following purposes:
- managing and administering recruitment activities and applications
- assessing candidate qualifications and suitability for current or future career opportunities
- communicating with candidates regarding recruitment opportunities and recruitment processes
- sourcing and identifying potential candidates for recruitment opportunities
- maintaining, securing, testing and improving the Career Site and related recruitment systems
- analysing the use and performance of the Career Site
- complying with applicable legal and regulatory obligations
- establishing, exercising or defending legal claims
- managing references and recruitment-related communications;
- conducting surveys and improving recruitment processes.
5. Whom do we share your personal data with?
Our service providers. Linedata may share your personal data with service providers supporting recruitment activities and operation of the Career Site and related systems, including Teamtailor. Such service providers are contractually required to implement appropriate technical and organisational safeguards designed to protect personal data. Teamtailor remains responsible for the security, availability and resilience of its own systems, infrastructure, hosting environment and subprocessors. Linedata does not control and cannot guarantee the uninterrupted availability or security of third-party platforms or systems operated independently by external providers.
Our group companies. Linedata may share personal data with affiliated group companies where necessary for recruitment administration, operational support or system access management.
Companies providing cookies on the Career Site. Where permitted under applicable law and subject to your preferences, third party cookies or tracking technologies may be used on the Career Site in accordance with Linedata Cookie Policy.
Third-party cookies and tracking technologies remain subject to the privacy policies of the relevant third parties.
Linedata is not responsible for the privacy or security practices of third-party providers operating such technologies.
Authorities and legal proceedings. Linedata may disclose personal data where required by applicable law, regulatory obligation, judicial order or legal process, or where necessary to establish, exercise or defend legal claims.
Corporate transactions. Personal data may be disclosed in connection with a merger, acquisition, financing transaction, reorganization or sale of assets, subject to applicable confidentiality and legal safeguards.
6. On what legal bases do we process your personal data?
Linedata processes personal data on the basis of one or more legal grounds recognised under applicable data protection laws.
In most cases, processing is necessary for the purposes of Linedata’s legitimate interests in managing recruitment activities and identifying suitable candidates for employment opportunities.
Depending on the relevant processing activity, Linedata may also process personal data:
- where necessary to comply with legal obligations;
- where necessary for the establishment, exercise or defence of legal claims.
Where consent is required, consent is obtained through a clear affirmative action and may be withdrawn at any time.
7. When do we transfer your personal data outside of the EU/EEA, and how do we protect it then?
Linedata seeks to process personal data within the European Economic Area (“EEA”) wherever reasonably possible.
However, certain service providers or subprocessors may process personal data outside the EEA.
Where transfers are carried out by third-party providers or subprocessors, such entities remain responsible for implementing and maintaining the safeguards applicable to those transfers.
Where required under applicable law, Linedata implements safeguards recognised under the GDPR, including adequacy decisions adopted by the European Commission and/or the execution of the European Commission’s Standard Contractual Clauses.
Linedata also implements reasonable technical and organisational measures designed to protect personal data in connection with international transfers.
To the extent permitted under applicable law, Linedata disclaims liability for unauthorised third-party access, governmental access requests or security incidents attributable to systems or infrastructures operated independently by third-party providers.
8. For how long do we keep your personal data?
Linedata retains personal data only for as long as necessary to fulfil the purposes described in this Privacy Notice and in accordance with applicable data protection laws. Retention periods may vary depending on the nature of the data, the purpose of the processing, and applicable legal or regulatory requirements.
Visitors
Information collected through cookies and similar technologies is retained for the periods specified in our Cookie Policy.
Candidates
- Successful candidates: If a candidate is recruited by Linedata, the personal data collected during the recruitment process will become part of the candidate’s employee file and will be retained in accordance with the applicable employee privacy notice and Linedata’s internal retention policies.
- Unsuccessful candidates: Unless otherwise required or permitted by applicable law, personal data relating to unsuccessful candidates is retained for a maximum period of two (2) years from the date of the last contact with the candidate.
Where permitted under applicable law, we may retain candidate personal data beyond the recruitment process in order to consider the candidate for future employment opportunities, provided that the candidate has given their consent where such consent is required. Candidates may withdraw their consent at any time.
References
Where you provide a reference in connection with a candidate’s application, we retain your personal data for no longer than the period during which we retain the relevant candidate’s personal data, unless a longer retention period is required or permitted by applicable law.
Legal and regulatory requirements
Certain personal data may be retained for longer periods where necessary to:
- comply with applicable legal, regulatory, tax or accounting obligations
- establish, exercise or defend legal claims
- evidence compliance with applicable laws and internal policies.
9. What rights do you have, and how can you exercise them?
Subject to applicable law, you may have the right to:
- access your personal data
- request correction of inaccurate or incomplete personal data
- request deletion of personal data;
- object to certain processing activities;
- request restriction of processing;
- withdraw your consent where processing is based on consent;
- request portability of personal data where applicable.
Right to raise a complaint.

Linedata does not endorse, control or assume responsibility for the availability, content, security or privacy practices of third-party services.
